        LPR BOARD MEETING MINUTES
November 1, 2022, 7:01 PM to 7:59 PM

Call to Order

Kris Vanacore called the meeting to order at 7:01PM.

Board Member Reports:

President Peter Ridgway –

a) BOD Meeting: Kris Vanacore, Acting VP will chair the meeting, if Peter is not available.
b) Fremont Concours: Thanks to Jim T and Dana D for working the Fremont Concours, our largest yet. Dana will report.
c) Sponsorship Fees: Peter increased our “sponsorship” fees to what they were while we were publishing the POST. Bill Weir and Peter will be connecting with all sponsors before the end of the year and giving them invoices. Also working on new possibilities, will keep you posted.
d) Need a Zone Rep: Collin Fat’s term as Zone rep is up. EC is looking for someone to replace Collin by Nov. 7th. Anyone interested, email Peter for details.
e) Award Ordering Timing Reminder for Nominating Committee: It is taking a month to get awards from Alpine, so we need to figure out how to handle AX Awards. Especially if last AX is 11/5. Suggest we use the same Award plaques as last year since Alpine no longer has a SC office for looking at awards. Expect a 30% increase from last year’s $1767.63 for awards.

October Board Minutes: President Peter asked the Board to approve the September [Ed. October] Board minutes. Kris Vanacore Seconded. Ayes: 6     Noes:  None    Motion Passed

Vice President – Kris Vanacore

GTG: Beer30 11/3.

2022 Awards Event: MSR is open for registration for the Hilarious Hat Happening. Detailed info flyer was sent for blasts, website, and social media. Honore and I are meeting with the Inn at Pasatiempo tomorrow to go over room set up. We will also get the info for guests wishing to book one of the 5 sleeping rooms I have reserved. Left to do-confirm band, secure raffle prizes.

Secretary – Dana Drysdale

Fremont Concours was great, Jim got there early to help the cars get parked. The place looked fantastic with 27 cars in the Concours, and about 20 display cars. We had about 75 visitors come to the show, and thanks to Fremont Porsche, we probably fed about 100 people. Many new member opportunities, requests for tech help. Pictures will be available this week from John (most of event) and me (award winners). No recommendations for future other than more than 4 dozen donuts and 4 coffees. Roy said PCA’s theory is that people are really coming out now, happening everywhere.

Secretary thanks everyone for continuing to send in reports early to help have a better meeting. Thank you!!

Chairperson Reports:

Autocross – Dave Dunwoodie
Kill-a-Kone on October 16th all went well with 39 drivers, which is likely the lightest turnout we’ve had of the past 9 years of this event.
Our next and last event is November 5th at Crows Landing with a comfortable turnout so far of 49 drivers.

Charity and Hospitality – Kathy Musser, Kris Vanacore, Emilie Highley

Charity –

Kill-A-Cone. . . Kris reported to date $3,205 has been received.  Possibility of matching gift from Apple, Kris’s son Matthew is checking, could result in another $1,000 – $2,000 to add to the amount.  Morgan Center is very appreciative of our support!

Jacob’s Heart. . . Kathy reports that checks were presented to Jacob’s Heart on October 13th, totaling $3,330.  John Reed was on hand to take pictures, Jacob’s Heart was very appreciative.

Hospitality  – See Member at Large report on Valerie Gould recovery!

Prieta Post Editor – Don Chaisson

The Nov/Dec Prieta Post was published, with an almost immediate response for the “photo contest” — but so far, only ONE response.   That is OK because it should take time for folks to go an make the effort for a quality image.   I won’t make any “awards” until March.

The next issue will be the Concours issue.   I’m hoping for some good photos and story about the upcoming LPR Course event to serve as content for the issue — along with some comments from a concours “expert”.    I’ll be reaching out for an “interview” format.   Also, I’m hoping to have a supporting article about waterless cleaning products — my condo HOA just announced that we cannot use hose/water to wash cars in the complex to conserve water.   I fear more of this to come in 2023.

Proposal to Board for Funding:  2 Months of Adobe InDesign fees: $41.98 and 1 year of FlipHTML5 $149.00, total $190.98.  Moved: Kris Vanacore Second:  Iain McNeil  Ayes: 6 Noes: None   Motion Passes.

Kris led a discussion of making changes to the $ amount that requires Board Approval vs. simply a reimbursement form.  At this point it is $100.  Discussion concluded with recommending the Member at Large take this up with the next review of Policies and Procedures.

Public Relations – Open

We are looking for someone to take this position – basics are sending photos, possibly an article into Panorama.  John is happy to continue taking pictures, but anyone should feel free to take photos.

Safety & Tour – John Reed

Safety

The Observer’s reports for the October LPR autocross and tour were sent to PCA National in a timely manner. The release forms were received by the LPR Activities Director. The events were safe with no incidents to report.

Tour

The Yankee Hill Cooking School Tour on 8/8 was a success, those attending had a fun time. Thanks to Susie George and Tom Geary for chairing this tour. Upcoming tours – The Ole Amigos Tour on Nov. 12th is still accepting sign ups, the deadline is November 7th. The Toys for Tots Tour on 12/11 is a go, sign ups have begun, 40 may attend. All the details for both tours are included in the monthly LPR blasts.

John is also looking for tour photos and other info to send to Panorama. He is still looking for someone else to do this, but, he is fine doing it. Our Werks photo is in the October Panorama!

Social Media – Dana Ambrisko

  • November Blast Update sent on the 1st
  • Mid-month Blast will be sent around November 15th

There are usually less events and tours taking place December – February.

During those months I may only send the Mid-month Blast as we have in the past,
and not email out a Blast Update on the 1st.

With the Prieta Post resuming, do we want in the future to only have the Mid-month Blast emailed out or would people like to continue receiving the Blast Updates? Email discussion before meeting indicated strong interest in continuing blasts. Dana concluded she will continue to report unless there is a slow month in January or February.

There was also additional discussion of badges and having a charge of $12 for shipping and handling for people who cannot come to an event and pick up their badge. General agreement on this point, Kris noted this should be taken up with the 2023 Board.

Tech – Peter Ridgway

Nothing additional to report this month.

Webmaster – Jim Turk

During October, Jim is busy making ballots work on the website and other balloting business. He also took care of distributing the new Post, and restructured the website menus. He is also making sure we are on latest release of WordPress to run our website. Jim added July minutes and tour information to the website. There was a discussion of mobile website, and this will be discussed at a later date.
