LPR BOARD MEETING MINUTES

Call to Order

President Dana called the meeting to order at 7:01PM.

July Board Minutes:  President Dana asked the Board to approve the July Board minutes.

  1. Monte Prieta Tour – After checking with Dave Dunwoodie (AX weekend) and Bob Morgan (activities), an additional tour is in the works for 10/28.  This is a two-region tour with Monterey Bay Region. Tour Leader from the South is Mark McMahon, Pres. MBY.  Tour Leader from the North is Peter Ridgway.  Because Peter is headed to France for 6 weeks, Dana will do the pre-work.  We are looking at destinations for lunch between Soquel and Seaside.  Suggestions welcome! 
  2. “Hybrid” Meetings – Most of what I heard about our Hybrid meeting at Legends was positive.  Input I received: Zoom participants said hard to hear speakers from Legends, room was noisy
    1. Room participants said hard to hear Zoomers in Legends, room was noisy
    2. Better cabling to put the “Owl” in the middle of the room may help.  A better monitor would also help
    3. Plan for future:  Subject to Board reaction, I would like to have 1 – 2 Hybrid meetings per quarter:      
      1. For now, Board will be polled for Quorum at Legends or other location before setting Hybrid meeting
      2. Look for a site on other side of hill, too
      3.   All is subject to additional input and results, always want to make sure it is a good fit for Board

Discussion:   Send any suggestions on locations for the Hybrid meeting to Dana for consideration.

Recap: July Financials

Recap YTD Financials, Jan 1 to July 31, 2023:

  • Expenses: $ 24,379
  • Income: $ 37,478
  • Net Income: $ 13,100

A few items to note:

  • Our financial institution, Bank of the West, is merging with BMO at the beginning of September. Online and mobile banking will be unavailable from Sept 1 through Sept 5. In-person banking will be unavailable over the Labor Day weekend. Our accounts will transition to similar BMO products, as far as I have been informed. We will be issued new debit cards once the transition is complete, though are existing cards should continue to work until we receive the replacements. I don’t anticipate any major disruption in services, but the possibility exists
  • The majority of our income and expenses continues to be from Autocross, though we did expend funds on our GTGs in July, as well as a few minor administrative expenses
  • For 2023 as a whole, Income continues to exceed expenses, though we did spend more than we made in July, bringing our 2023 surplus down to $13,100 to date.

Proposal:  Via email – Andy requested approval to pay our annual insurance bill. This is for the insurance on our autocross trailer, both as property as well as to cover the club while it is being transported. The total is $325, in two separate bills ($22 & $303). Discussion: 
1) Kris wondered if LPR sends cards to members on their anniversary.   Kathy said no.   However, the anniversaries are posted on the website and in the Prieta POST.   It is possible that PCA may send something.

2) Kathy stated that no one has requested badges.   A request form is included in the Membership packet.   Prefer that members attend at least one event.   Perhaps forms can be available at events.

Member-at-Large – John Gould

LPR Nominating Committee Meeting on July 27, was again very productive.

  1. For officers, we have candidates identified for Member at Large and Activities, and acceptance by the others to fill the officers’ ballot.
  2. We have selected Crown awards as our new supplier and selected the awards version to be purchased.
  3. We have completed the sample ballot for board review, which was attached to report email.

Proposal:  John proposes that the final Nomination Committee lunch be paid by the Club.  Second: Bob Morgan   Ayes: 6   Noes:  None   Motion passes

Discussion: 
1) Kris mentioned that an Award style has been decided by the committee.   $29.95 each.   We will not have an order ready to place until the voting has been completed and the Autocross series has ended.   Expect this to be in November.
2)We all need to be certain that we are using the current LPR logo.   Kris as the unofficial Historian will keep this on file.

Chairperson Reports:

Autocross – Dave Dunwoodie

Registration is open for our next AX on the 27th which is a Zone 7 event, and it’s filling up nicely with 25 drivers so far.  I’m planning a pizza and beer dinner for possibly up to 30 people, I’m guessing, on Saturday evening.  I’m expecting the PCA dual region rebate to come through for $500 but expect it will cost more than that.  Can I get board approval to cover up to $300 more? Maybe it will be more? Discussion please.

The following event will be October 29th, our Kill-a-Kone fundraiser, at Salinas Airport. Our September date was cancelled because of the airshow at the airport, but we knew that was a possibility.   Last event of the season will be back at Crows Landing November 11th when it’s cooler.

Charity  – Kathy Musser, Kris Vanacore, Emilie Highley

Johnny Musser 3 produced a terrific Save the Date flyer for the Jacobs Heart Tour and Charity Event. It was sent to Social Media, Web Dude, Activities, Post Editor for publication.

Kris is working on the PCA Region Subsidy Program Request and will send it this week to the Zone 7 rep. for his approval before he then sends it along to National. The subsidy is $750 and this year we plan to use the money for the Jacobs Heart tour and charity events in October.

Hospitality – Emilie Highley

The Club was informed of Ken Iles passing on July 5th.

Prieta Post Editor – Don Chaisson

The “open rate” data on the last issue continues to show a couple reads a day, together with the large open rate in the first week of publication totals almost 300 views and almost 15 hours of reading by our visitors. 

The next issue is coming together with lead articles:  A remembrance of Ken Iles, An interview with Tom Provasi on WERKS, A review of 2023 WERKS.   (I’m working on another interview with an old friend about his “complete” restoration of a racing 914 that he plans on showing at WERKS…).
We will be adding an “Advice Column” called “Dear Poloma”…. Get it, “… Loma…. It is a whimsical column by Judy Jones.   It should be fun and I look forward to hearing feedback from the readers about it. 

I’m expanding the “Member’s Corner” to show some photos of new members (they showed up at the Forrest Bathing Tour).  So far, I’ve not gotten any “volunteers” for a highlight of Meet a New Member tidbit.  I’ll couch the three new member photos as “… this could be you…” or something like that.   Maybe shame will get volunteers? 

I definitely will not be able to have the issue ready for Sept 1 email blast… so I’d like to publish Sept 5th to 7th.   Dana thank you in advance for helping facilitate this. 

More details for upcoming tours would help populate the Calendar’s look into the future. 

Dana is working on dropping by Porsche Stevens Creek to talk about their car rental program. —  sort of rent a Porsche for a Day.   I will plan to join him and work up a “Feature Article” for the program for either this coming issue or the next — which will be dominated by Rennsport7 report….  Many photos given all the “eye candy” that will be on display at Laguna!!

Public Relations – Open

A photo and caption from the Bathing in the Redwoods Tour was sent to From the Regions for a future issue of Panorama.

(We are looking for someone to take this position – basics are sending photos, possibly an article into Panorama.  John is happy to continue taking pictures, but anyone should feel free to take photos.)

Safety – John Reed

The Observer’s Report for the July 23rd LPR tour was sent to PCA in a timely manner. The release forms were sent to the LPR Activities Director. There were no incidents to report, just a great driving tour!

Tour – Hugh Calvin

The Forest Bathing Tour was conducted in July.  Tour fees ($5) waivers apply to remaining tours this year.

Next up is the Pinnacles Tour on 10-September.

Further out:  Jacob’s Heart (10/14), Ole Amigos (10/21), Butterfly (11/18), and Toys for Tots (12/10).

Discussion:
1)As mentioned in the President’s report, a combined tour with the Monterey Region is scheduled for 10/28. 

2)Iain McNeill provided an update on his two tours.  Both look good.  300% attendance for the 993 Registry Tour.  Release forms will be done on MSR.   The Pinnacle tour currently has 8 cars signed up.  Release forms will be signed at the tour driver’s meeting.  Need sweeper and someone to do the observer’s report.

  • August Mid-month Blast will be sent on or around 15th
  • Did any of the views/reading numbers of Prieta POST improve when emailed on its own? Possibly to be emailed as its own entity in the future to boost viewings and reading?

Old Business: 

Banners – via Email

Kris Vanacore would like to propose that the club approve $500 for 2 banners to be produced (it may be a little more including tax and delivery charges). One would be the size of the photo (great for charity, picnic, awards event etc.) plus a smaller version for smaller events like Thirsty Thursday and Cars and Coffee.
