POST Advisory Committee Notes

Peter Ridgway Emilie Highley, CC: Chris Dyer and Kat Hsueh

Anne Roth Dana Drysdale CC:  Jim Turk

Iain McNeill

Mission: explore options for continued publication of the POST and for making the POST more interesting.

Note: Kris thinks the blog format is too difficult to navigate and much prefers Portland regions magazine format.  Discussion.  Probably a consensus opinion.

Options to Discuss

  • only publish quarterly. With Social Media picking up all relevant monthly updates.
  • only publish bi-monthly?
  • drop the POST altogether and move to website only (most everything in the POST is duplicated on our website already. We could make a few changes to include articles, when needed.)
  • Change the function and responsibilities of the POST Editor position?  An open discussion followed – see the details at the end of these notes
  • What if the editor was responsible for providing content (see next bullet point) and the club hired a PUBLISHER to produce The Post? The Editor would be someone who knows the club and gathers articles to be included while the Publisher could be anyone who has the computer skills to do the production.
  • What if…The Content was provided by each board member and the committee chairs.   We could divide each month up such that no one had to do this more than once or twice.  We have 16 board and chair members.
  • Would not have to be a huge article or in the case of tech, maybe an article pulled from another region, Membership could submit a mini bio on a member of the month, VP would provide articles on GTGs or suggestions for planning a GTG, Charity could ask our charities for a write up, etc.….  This would all be a good way to provide board and chair position articles Hopefully to get others interested in the positions).
  • Possibility of “hiring” journalism students from local schools? Volunteers to investigate – see details below
  • from Dana:  For Cupertino Rotary, the content issue is handled by Committee chairs and a “reporter” for each meeting.  Dana and 3 other people do the publisher job – called “editor” Kris describes.   Cupertino Rotary uses a package called “Club Runner”.
  • from Jim Turk: Club Runner makes the website and the newsletter at the same time. It does tickets and stuff too. There are probably many technologies / packages to do this. ClubRunner could be used as a replacement for our website and offer many features that the current website does not have, some of which may be important to the club, some may not. This solution would cost the club money. So be aware of the pricing. Also, we would probably want to hire either a ClubRunner designer, or someone who is willing to take the time to set it up. ClubRunner offers those services.    (I (Peter) did a quick look:   the prices are reasonable for professionals but not exactly cheap.  Especially if we wanted to change lots of stuff or need a long-term engagement).
  • Possibility of “hiring” or subcontracting students to do the software work?

Dana in response to Jim’s comments:    We have a bunch of people in Rotary who set ours up – it is not bad.   Not familiar with what they pay, or if they got a deal, will ask.     Dana checked:  Set up changes generally performed by one person (current President), the Editors (Dana is one of 4) make the weekly update and make smaller changes.  They occasionally hire someone from ClubRunner for larger changes, these do not take long, they pay the standard rates.  ClubRunner has templates to use, and the little parts of the website are done using those templates and parts.   The weekly update is quite easy.

LPR editors do not receive much content, so, people do not go to read it.

Do not like this blog format – not as user friendly as booklet format.  Our prior online POST – whether the booklet or the prior blog – was not

The blog format does not look new every time something new happens – we think we are seeing the same thing from the prior month.  Some of the advertisers say this is true, also.

50 year ago, fun stuff – can we bring those pictures back – should we consider bringing some of these ideas for activities back

Iain submitted an article – he wrote about work on his car last year – lightweight flywheel clutch.  He said writing was difficult.  Iain agreed content is the issue – looking at prior content is a good idea

Discussion and review of binders of POSTS from prior years. Also, many years of photographs – two boxes

Still a need to fix the format – Anne explained also needing a writer, will reach out to UCSC to see if they have a journalism program, also someone could reach out to community colleges, etc.  Followed a discussion of San Jose State, and other possibilities.  Should there be remuneration?  Concern about how much it might cost during this time of no income – is OK to explore.  We could start with interns, could be a paying job later?

May be a good time to look for people because there are few paying jobs

Discussion of financial situation because while expenses are low, revenues have changed – and some expenses per participant are higher – particularly autocross with the Cow Palace cannot make much money
