Call to Order

President Dana called the meeting to order at 7:00PM.   

Board Member Reports:

October Board Minutes:  President Dana asked the Board to approve the October Board minutes.

Brunch at Porsche Now 12/15:  No reply yet from Mariah Hutchison, Sales Manager, Stevens Creek

Heard from Tony Newell, GM about updating their ad, etc.

Slot Car Saturdays (or during week): Through member Kevin Webster, I was introduced to Steve Stewart.

Steve has two commercial quality tracks in the Los Gatos mountains.  He invited us to come up and race.  

The tech and sophistication (fuel, tires, etc.) are quite surprising.  Idea is to call a Slot Car Saturday and see what we get.  Board reaction?

Discussion:   Dana will send a picture of the Slot car track.  He may schedule a date and send an email invitation.   A limit of 12 people can attend with carpooling required.

VA Car Show:  Checked in with Theresa at VA, she still is interested in a May show.  January is usually a slow month for us and the VA, so they do like that, too.

9/13/2025 PCA 70th Anniversary:  Tentatively checked this out for Oktoberfest with Mark McMahon and MBR.  They like the idea, like it a lot.  We need it drivable for us so we could participate.

Please let me know if you see an upfront problem with this or have another idea.  Ideas welcome!!!

Observer / Safety Chair Development:

Checked in with Ed T., he is happy sticking with just AX Observer.

Idea I ran by Ed:  Offer free events, etc. to any new member who will train to be an observer.

Train them, develop an observer pool, then recruit a Safety Chair.  Ed liked it, he could help train.

Board feedback appreciated, I can use my new member mailings to recruit and work with Ed, Hugh, Greg.

Discussion:   No Autocross events will be given free.   Suggest no free events be offered to take on a volunteer position as other volunteers do not receive free incentives to participant and help the club.

Board Meeting As Executive Committee 2X / Year:  This will only make sense after hearing Homer’s report.

1st meeting of year, as early as February every year is to select the Nominating Committee.

There will be terms that do not all expire at the same time, etc.

2nd meeting of year will be Strategy – what are we doing, what should we be trying to do, financial stewardship, etc.

Usually, this kind of thing might happen in September or October.   

For 2024, I would like to have a meeting about these new approaches to Nom Com and Planning.

November seems not possible, let’s get some feedback on early December boundaries.

Voting on the Board of Directors and Awards was completed at the end of October.   All votes were submitted online through MonkeySurvey set up by Jim Turk.   No paper ballots were received by US Mail.  Jim Turk extracted the results from MonkeySurvey, and the votes were certified by Johnny Musser and Ed Tefankjian.

Member-at-Large – Homer Pitner

New National bylaws & Policies and Procedures

Preliminary feedback from PCA National on our Bylaws submission surfaced two concerns that we need to address: Currently, LPR has a Member at Large position that is elected and is tasked with chairing the nominating committee. This is a potential conflict of interest. Additionally, the Secretary is tallying the votes. Since this is an elected position, it too is a potential conflict of interest. The National bylaws state that if the Secretary is standing for election, the past President will assume that role. In that LPR has replaced the past President (a non-elected position) with the Member at Large (an elected position) we need to address the potential conflict of interest. 

Dana, Peter and myself have been in discussions on how to address these concerns, and here are our recommendations:

We propose to remedy both of these concerns by the appointing a nominating committee chair, who in addition to the awards and officer’s nominations would be responsible for vote tallying if the Secretary is standing for election (note that most voting is web based and the Webmaster provides the results). This would remove any potential conflict in both instances. The Member at Large position would be retired and the policies/bylaws responsibilities would fall to the nominating committee chair as well. 

In that we are potentially reducing the BOD by one member, some additional thought should be put into the expansion of the BOD that has been approved. The AX Director position has clear deliverables and represents a large portion of LPR activity and expense. However, the Communications Director is more difficult to define and rationalize. LPR is already well served by the Prieta Post and Social Media chairs. We recommend that the Communications Director position be shelved until such time that deliverables are concrete and a capable individual comes forward to stand for this position. By taking the recommended steps, the LPR BOD would remain at seven officers which ensures that there are no tie votes on future decisions.

Proposed Nomination Committee process for LPR officers (will be part of Policies and procedures) based on discussion with John D’Angelo of PCA National:
  • BOD appoints Nomination Committee chair and members (people with prior experience on committees and BOD and have the best interest of LPR in mind). It is recommended that a special session of the BOD be held to accomplish this task.
  • Nomination Committee interviews current BOD and committee chairs on what is working well, areas needing attention, how current committees and BOD are performing and potential candidates.
  • Call for officer nominations in Prieta Post about 6 mo. prior to LPR elections
  • Nomination Committee interviews potential candidates as to capability and willingness to serve
  • Nomination Committee presents officer nominations to BOD in September

Discussion:   For continuity of Nominating Committee Chair’s duties and tasks, eliminate Secretary’s role completely for vote tallying and other tasks regarding nominating and voting.

Proposal:  Sheila proposes we approve Homer to proceed with a write-up on changes to the Bylaws and Policies and Procedures and resubmit for BOD approval   Second: Homer   Ayes:  6   Noes:  None   Motion passes

Chairperson Reports:

Autocross – Dave Dunwoodie

We finished up our AX season last weekend, our 9th event with 72 drivers at Crows Landing with great weather. I have a list of trophy winners but I’m waiting to hear back from a few that may decline receiving theirs.

Last month we had our Zone 7 weekend & Kill-a-Kone event with 78 drivers on Saturday, 66 with GGR on Sunday. We had about 50 drivers show up for the dinner and trivial quiz. Everyone had a great time! Javi’s did a fantastic job and loved having us. We were their first large party and we are welcome to come back for another anytime. Our bill for dinner and soft drinks came out to less the $1400, way under budget and covered with the $750 from national and the rest with registration fees from the event.

Trophy budget was discussed for both Autocross and recognition awards.

Charity  – Kathy Musser, Kris Vanacore, Emilie Highley

The Toys for Tots Tour Charity Event will be December 1, 2024. LPR has for several years generously collected and donated toys for community kids in need. We will once again work with Joey from Silicon Valley Moving and Storage to help him reach this year’s goal. If you are unable to go to the Toys for Tots tour (be a shame to miss it!) Toys will also be accepted at the December 7 Annual Awards Event.

Toys for Tots has a high need for gifts for older kids; soccer balls, board games, art sets, larger sized bike helmets, batteries and the like. Please note that toys need to be new and unwrapped. Toys for tots cannot accept or distribute used toys. Kindly avoid guns or toys of aggression.

Happy to say that all is well at this time!

Discussion:  No viewing statistics are available if the Prieta Post is downloaded.  Don will check with the publishing service to see if they can show how many Prieta Posts are downloaded.

Public Relations – Dana Drysdale

Safety – Open

Dave reported that Ed Tefankjian submitted the safety report for the November 10th Autocross.

Tour – Hugh Calvin

BoD authorized Tour fee waivers for tours in 2024. 

Ole Amigos – John Reed Memorial Tour was held on 2- November.

Next scheduled Tour is the Toys for Tots Tour on 1-Dec.

  1. Tallied the results of the 2024 election and sent them to the member-at-large and secretary.
    • First, the good news
      • Well done, LPR members. This is the most votes we’ve received in the last six years!
    • Now for the not-so-great news
      • There is almost always room for improvement, of course. The number of voters represents less than 1/10th of the club membership (608 primary and affiliate members, as reported in the August board minutes).
    • No paper ballots were received (thank you Andy for checking the PO Box).
  2. Made updates to the AX page.
  3. Updated the Home page with events.
  4. Posted Flyers for Toys 4 Tots and the year-end awards.
  5. Applied WordPress maintenance updates (themes and plugins).
    • The WordPress ecosystem is changing. So far, I think that we are not impacted, but time will tell.
    • The WordPress software version is out of date. I will be attempting to bring it up to a more current version, probably in December. Don’t be surprised if the site isn’t available for a few days.
